Ipswich Libraries has a range of bookable spaces available for use, including meeting rooms, study pods and event spaces.
Library members can book meeting rooms and study pods for free, for personal and non-commercial purposes only. To use an event space, members must submit an application. Applications for an event space booking must be submitted a minimum of 14 days prior to the booking to allow for assessment. Same day bookings are not permitted. Event space usage is free for personal and non-commercial purposes, however fees apply for members wishing to book an event space for business use, commercial purposes or not-for-profit activities.
The preferred method to book a meeting room, study pod or event space is online via the Ipswich Libraries website but enquiries can be made over the phone or in-person at any Ipswich Libraries branch.

These spaces are not available for any commercial/business purposes, activities, events, material gain, directed at making a profit, including government agencies (Federal, State or Territory).
The person making the booking is not to charge people for attending any activity in a library meeting room.
While using these spaces, no products or services may be advertised, solicited, or sold.
Bookings made for these spaces for any of the above mentioned purposes, and not declared as such, will be charged in accordance with the Commercial Booking Charges.
Repeated use of these spaces for any of the above-mentioned purposes will result in refusal to accept future bookings and charges will apply.

A commercial organisation is any business that sells goods or services with the primary goal of making a profit.
An Australian government agency refers to an organisation or authority that operates within the Commonwealth, a State, or Territory.
A registered Not-for-profit is an organisation that does not operate for the profit, personal gain or other benefit of particular people (for example, its members, the people who run it or their friends or relatives).
A charitable organisation is created and formally registered for a specific purpose for the relief of poverty, sickness, distress, misfortune, disability or helplessness providing services that are carried out for the public benefit and is a registered Not-for-profit organisation.
A community organisation is a registered Not-for-profit organisation consisting of people having common interests. It is an entity that carries on activities for a public purpose or whose primary objective is not directed at making a profit. This includes sporting clubs, social clubs, schools, arts and cultural groups and service.
To meet the criteria of being a registered Not-for-profit organisation, you must be approved and registered by the Australian Charities and Not-for-profit Commission (ACNC). If you are unsure of your current Not-for-profit status, please refer to the Australian Charities and Not-For-Profit Commission website.
Please ensure that all activities comply with Ipswich Libraries policies and respect the space as a shared community resource. Unsuitable activities include those that are disruptive, unsafe, or not in alignment with the library’s mission and values. Please refer to the below for further information.

General Guidelines of Use for Ipswich Libraries

Cardholders must be 13 years or older to book a meeting room, study pod, or event space, and must be in attendance for the entire length of the booking time, including when collecting the access key. Please note that different requirements apply for after-hours meeting room access at Ipswich Central Library – refer to the section about this further down.
Approval of all booking requests is dependent on availability of spaces and/or equipment.
Cancellations can be made online via your library account or by contacting Ipswich Libraries.
Customers are allotted a 15-minute window to collect the access key from the start of their booking. If an extension is required, customers must inform the library within this timeframe. Failure to notify will result in the automatic cancellation of the booking.
Organisers of room bookings are responsible for all activities held and resources used in the rooms for the duration of the booking.
Please report all technical faults with meeting room/event space equipment to a Library team member immediately.
On completion of the booking, the access key must be returned to a Library team member at the branch Welcome Desk. If not returned, a $45.00 non-return of key charge will apply. Please note, different requirements apply for after-hours meeting room access at Ipswich Central Library – refer to the section about this further down.
Ipswich Libraries has priority booking access to secure spaces for the delivery of community programs and events.
The library is not a licenced venue and external bookings cannot include alcohol

A meeting room can be booked for a maximum of four (4) hours (maximum of eight (8) consecutive 30-minute slots) in a seven (7) day period.
Meeting rooms can be booked up to two (2) weeks in advance.
Group booking numbers are not to exceed the approved room capacity.
Meeting rooms must remain in their default configuration for the duration of the booking, unless prior approval has been granted by a Library team member.
Additional furniture is not to be brought into the meeting room from other meetings rooms or spaces within the branch, unless prior approval has been granted by a Library team member.
Please be mindful of noise levels during your booking as meeting rooms are not soundproof and may disrupt other Ipswich Libraries customers.
Meeting rooms are to be in a clean condition at the end of the booking, including placing all rubbish in the bins, where provided, and cleaning the whiteboard wall.
No hot food is to be consumed within the meeting room.
If utilising a meeting room kit, please ensure all items are accounted for in the kit at the end of the allotted time.
Please be ready to leave at the end of your allotted time as others may be waiting to use the space next.

PLEASE NOTE: All first-time users and/or new members who have booked a meeting room after-hours at the Ipswich Central Library, are required to undertake a 30-minute orientation in-person, on how to access the SmartLockers to obtain the key. To organise a suitable time, please contact Ipswich Central Library during opening hours and prior to your booking date.
Ipswich Central Library offers after-hours access to meeting rooms from 5.00 pm to 8.00 pm on weeknights. After-hours access to meeting rooms is provided as quiet study spaces.
Please note, security guards will be monitoring the area.
Technical assistance by library staff will not be available after-hours.
A meeting room can be booked for a maximum of four (4) hours (maximum of two (2) slots) in a seven (7) day period.
Meeting rooms can be booked up to two (2) weeks in advance.
Cardholders must be 18 years or older to book a meeting room for after-hours use, and must be in attendance for the entire length of the booking time, including when collecting the access key.
Applications for an after-hours meeting room booking must be submitted prior to 4.00 pm if you are seeking a same-day booking. This will allow staff time to organise your access key.
If you are arriving at 5.00 pm, or after the library has closed, the access key can be collected from the Ipswich Central Library ground-level SmartLocker using your Library membership card.
All booking holders must exit the building by 8.00 pm. Please prepare to exit 15-minutes prior to when your booking is to end.
Return keys to the Returns Chute located on ground-level of the Nicholas Street Precinct.
Meeting rooms must remain in their default configuration for the duration of the booking unless prior approval has been granted by a Library team member.

A study pod can be booked for a maximum of four (4) hours (maximum of eight (8) consecutive 30-minute slots) in a seven (7) day period.
Study pods can be booked up to two (2) weeks in advance.
Study pods are made available on the understanding that they are returned in a clean condition, including the removal of any rubbish.

An event space can be booked for a maximum of one (1) day (maximum of eight (8) consecutive one (1) hour slots) in a 28-day period.
An event space can be booked up to three (3) months in advance of the booking.
Applications for an event space booking must be submitted a minimum of 14-days prior to the booking to allow for assessment.
Please note that submitting the application does not guarantee approval and will remain as ‘Pending’ only until it has been assessed by an Ipswich Libraries team member and the applicant is advised of the outcome.
Event space usage is free for personal and non-commercial purposes, however fees apply for members wishing to book an event space for business use, commercial purposes or not-for-profit activities.
Event Spaces are unavailable after 3.00 pm, unless prior approval has been granted by an Ipswich Libraries team member.
